Information we collect

- Enquiry, project and correspondence details, including the information you send through forms, email, telephone, WhatsApp or meetings.
- Commercial and transaction information, such as quotations, contracts, invoices and payment status. Card details are processed by our payment provider and are not stored by Nexus Websites.
- Technical and usage information, such as IP address, device and browser information, pages viewed, referral source and interactions with the website.
- Public business information used for relevant business-to-business prospecting, such as an organisation’s public website, general business contact details and publicly stated roles.
How and why we use information
- To respond to enquiries, prepare quotations and take steps at your request before a contract. Our lawful basis is taking steps to enter into a contract and our legitimate interests in operating the business.
- To deliver websites, digital marketing and related services, manage projects, take payment and provide support. Our lawful basis is performance of a contract and our legal obligations.
- To operate, secure and improve this website and understand service performance. Our lawful basis is our legitimate interests in maintaining and improving our services. Where non-essential cookies or similar technologies require consent, we rely on consent.
- To keep business records, prevent fraud and establish or defend legal claims. Our lawful basis is legal obligation and legitimate interests.
- To send relevant business-to-business communications to organisations that may reasonably benefit from our services. Our lawful basis is legitimate interests. Every message identifies Nexus Websites and provides a straightforward way to opt out. We do not send unsolicited email marketing to sole traders or individual subscribers unless permitted by law.
- To send optional newsletters or promotional updates. Where required, our lawful basis is consent, which you may withdraw at any time.

How long we keep information
- Enquiries that do not become client work: normally up to 12 months after the last meaningful contact.
- Client, contract, invoicing and tax records: normally six years after the end of the client relationship, where required for legal, accounting or tax purposes.
- Operational project files: for the project and a reasonable support period, then deleted or anonymised unless continued retention is agreed or legally required.
- Analytics data: according to the retention period configured in the relevant analytics service.
- Opt-out records: minimal information may be retained for as long as needed to honour the opt-out and avoid contacting you again.
Your rights
Depending on the circumstances, you may have the right to access, correct or erase your personal information; restrict or object to its use; receive certain information in a portable format; and withdraw consent without affecting earlier lawful processing. You also have an absolute right to object to direct marketing.
